Part-time Administrative Assistant (Elementary School Office)

Job Description

The job holder is to provide administrative and clerical support in the day-to-day operation to ensure smooth operation in the School Offices.

Key Responsibilities

(a) Frontline support

  • Provide a welcoming and hospitable response to all faculty and staff, parents and students, visitors and guests, etc.  Receive and direct visitors and telephone calls as a customer service professional and provide general information. 
  • Sort, prioritize and distribute incoming mail, fax and courier packages.
  • Ensure the reception area is fully resourced, tidy and presentable.
  • Work closely with other departments to ensure smooth and efficient operations among various teams and departments of the School.

(b) Administration support

  • Provide administrative support (e.g. photocopying, filing, sorting, word processing, ordering supplies, etc.).
  • Schedule appointments and meetings, determining urgency and importance, with a view to achieving the optimum utilization of time.  Keep supervisors informed on a variety of administrative details.
  • Prepare periodic and special reports as related to the departments and/or services. 
  • Keep systematic records of inventory and resources.
  • Monitor the process of requisitions, invoices, and expense reports in order to stay within a reasonable timeline for payment of bills.

(c) Others

  • Help with the logistical support of the school activities and events.
  • Provide relief support for other school offices may be required.

Qualification & Experience:

  • Higher Diploma or above.
  • Relevant secretarial training would be preferable.
  • At least 2-year experience in office environment. 
  • Experience in scheduling, managing events and organizing student activities preferred.
  • Experience in international school will be a definite advantage.

  • Strong sense of customer service.  Well-presented and confident in dealing with people at all levels.
  • Pleasant personality, reliable, hardworking, detail-minded, punctual, self-discipline, polite and neat.
  • Mature, highly organized, responsible, self-motivated and flexible in the working approach.
  • Proficient in email systems and computer literacy.
  • Knowledge in basic operation and set-up of audio-visual equipment.

Work Arrangement:

  • 20-25 hours per week.
