Part-time Administrative Assistant (Co-Curricular Education & Pastoral Care Office)

Job Description

The job holder is to provide administrative and clerical support in the day-to-day operation to ensure smooth operation in the Co-Curricular Education & Pastoral Care Office.

Key Responsibilities

  • Provide administrative and secretarial support to the department, including but not limited to arranging appointment and meeting schedule. 
  • Support the Athletics Director to provide logistics support to co-curricular events and activities including but not limited to transportation arrangement of teams to games and practices, sports venue booking, registration of sports teams, flight and accommodation reservations, catering arrangements, etc.
  • Handle logistics and communication platform of MS & HS study tours.
  • Administer communication and documentation flows, including preparation of correspondence, meeting agenda, follow-up on outstanding action items discussed.
  • Collect and analyze data for each co-curricular program in order to evaluate the program effectiveness on student growth and learning.
  • Assist in publishing promotional materials for various co-curricular education events and activities.
  • Assist with purchasing materials that may be required for various co-curricular events and activities.
  • Set up and maintain filing system and document records.
  • Liaise with different offices and external and internal parties.
  • Provide relief support for other school offices may be required.

Qualification & Experience:

  • Higher Diploma or above.
  • Relevant secretarial training would be preferable.
  • At least 2-year experience in office environment. 
  • Experience in scheduling, managing events and organizing student activities preferred.
  • Experience in international school will be a definite advantage.

  • Strong sense of customer service.  Well-presented and confident in dealing with people at all levels.
  • Pleasant personality, reliable, hardworking, detail-minded, punctual, self-discipline, polite and neat.
  • Mature, highly organized, responsible, self-motivated and flexible in the working approach.
  • Proficient in email systems and computer literacy.
  • Knowledge in basic operation and set-up of audio-visual equipment.

Work Arrangement:

  • 20-25 hours per week.
